You can set up shared calendars in Outlook 2013 and in Office 365 webmail.


Instructions for creating a shared calendar in Outlook 2013 and Office 365 webmail

Outlook 2013

To create a shared calendar in Outlook 2013, follow these steps:


a. Open Outlook and click Calendar on the navigation bar at the bottom of the screen.
b. Click HomeOpen Calendar and Create New Blank Calendar.

c. Give this calendar a name and choose where to save it in your mailbox. 
d. Click OK.


a. Open Outlook and click Calendar to the left of the screen.
b. Right click on your new calendar.
c. Select Share and then Calendar Permissions.

d. Click the Add button.
e. Select the user that you would like to view your new calendar.
f. Click on the Add -> button and click OK.
g. Select the the user's name in the dialog box that appears.
h. Tick the box that says Folder Visible and click OK.

i. Click Calendar on the menu on the left.
j. Right click on the calendar you want to share and select Share Calendar. This will send the recipient an invitation to view it. 

Your shared calendar is now set up.


To create a shared calendar in Office 365 webmail, follow these steps:

1. Create a new blank calendar 

a. Log in to webmail ( and click Calendar on the blue bar at the top.
b. Right click My Calendars and select New Calendar.

c. Give the calendar a name and then press the Return (also known as Enter) key on your keyboard.

2. Share the calendar with others

a. Right click on your new calendar and select Share Calendar.
b. Type the email address of the person you wish to share the calendar with in the Share with field.
c. Choose the level of detail you would like the user to see using the dropdown menu on the right hand side of the name.

d. Choose the calendar you wish to share using the dropdown menu at the bottom of the screen.
e. Click the Send button. This will send an invitation to view the calendar to the recipient. 

Your shared calendar is now set up.
