To access a course and interact with the course materials, staff and students need to be enrolled on a course with a specific role.  Enrolling users is limited to Course Admins and Course Teachers.  Please note that staff and students at Imperial College are automatically given access to Blackboard and do not need to request for an account to be created.

Course roles have different permissions and can be broadly separated between Student and Teacher roles.  

The Teacher role is further divided into  Editing and Non-editing Teacher roles.  

Roles that users can be enrolled on a course include:  

  • Course Admin  
  • Course Teacher  
  • Teaching Assistant   
  • Auditor  
  • Marker  
  • Student

Below we look at the ways in which staff and students can be enrolled onto Blackboard courses:

BB Enrol Users

Automatic enrolment

The Department Student System (DSS) creates student distribution lists based on their selected courses and/or programme via the College's Outlook directory. If you are using the DSS to manage course enrolments, you can set up an automated link with Blackboard to enrol students into a Blackboard course. To do this you must ensure that your Blackboard course has been configured with a DSS integration code. 

To check whether your course has been configured, login to DSS and view the course details:
  • If the Blackboard section exists field is marked Yes, your Blackboard section exists and has been configured for use with DSS.
  • If the Blackboard section exists field is marked No, your Blackboard section either does not exist in Blackboard or it exists but has not been configured with a DSS Integration Code. 

Setting up a DSS integration code 

To set up a DSS integration code, follow these steps: 
  1. Login to DSS http://www.imperial.ac.uk/DSS
  2. Access the course you wish to create a code for
  3. Copy the DSS integration code listed. 
If your Blackboard course does not exist in Blackboard Learn, complete the Blackboard course request form and enter the DSS integration code in the relevant field on the form. 
 

Setting up automated enrolment from DSS 

To set up automated enrolment, follow these steps: 
  1. Login to DSS http://www.imperial.ac.uk/DSS
  2. View the details of the course in question
  3. Select the type of students you wish to be enrolled
  4. Enter the date you would like the students to be enrolled from
  5. Students will be enrolled on a nightly basis from the date you have entered until the end of the academic year relating to the course you have chosen.

Manual enrolment

Teachers and other staff members will need to be enrolled onto a course manually. If you are not using DSS or wish to enrol students individually, you will need to follow the procedure for manual enrolment:
  1. Navigate to the course you wish to enrol the users onto
  2. Within the Course Management section, select Users and Groups and then Users
  3. Select Enrol User and then select Find Users to Enrol 
  4. Enter a username or click Browse to search for users. Only users that are not already enrolled in the course will be identified in a search for users
  5. Type as many usernames as desired, separating each username with a comma
  6. Select a Role and Enrolment Availability for the users. If Enrolment Availability is set to No then the user(s) will not be able to access the course until this is changed
  7. Click Submit .
Users will be given immediate access to a Blackboard course they have been enrolled in.

Batch enrolment

Where you have large numbers of users or want to upload users with a mix of roles for a course, then you may wish to enrol them using a .csv (or similar) file.

Your .csv file must have the following fields:

  • Username*, Last Name*, First Name*, Email, Password*, Course Role* e.g. "jsmith, Smith, John, password, S"
  • Field names with an asterisk (*) are mandatory and must contain data.
  • The email field is optional and can be left blank (as per the example above). The password field is a mandatory field for the upload, however, as users will use Imperial Single Sign On, the data entered here will not modify the user's existing password. Add random data in this column.

The course role codes are as follows:

  • "IC_P" for Course Admin
  • "IC_T" for Course Teacher
  • “IC_A" for Auditor
  • "IC_G" for Marker
  • "IC_TA" for Teaching Assistant
  • "S" for Student

Once you have compiled your .csv file, follow these instructions to carry out the upload:

  1. Navigate to the course you wish to enrol the users onto.
  2. Within the Course Management section, select Users and Groups and then Users
  3. Click Batch Enrol Users
  4. Locate the .csv file by clicking on Browse and select the delimiter type as Comma (or select as appropriate)
  5. Click Submit
  6. Once completed, a report will be generated showing successful enrolments and errors.

Bulk Enrolment Across Multiple Courses 

Individual or multiple users can be enrolled in multiple courses by Batch Enrolment. These enrolments can only be carried out by the Digital Education Team.   
Submit a .csv file via ASK Service Now containing the following information: 
  • Blackboard Course ID
  • Username
  • Course role 
You can find the Course ID by clicking on the Content Collection dropdown menu in the Course Management section of a course. The Course ID is the first link under the Content Collection heading. 
 
Please note that the Digital Education Services team will not amend the data supplied. Batch enrolments will only be accepted if the information is accurate and supplied in the correct format. 

Self-Enrolment

You can set the enrolment method to Self-Enrolment for a Blackboard course. This is useful for open courses that do not have a set cohort of students. Users will need to search for the course from the Blackboard home page and enroll themselves as a Student.

To set Self Enrolment for a course, complete the following steps:

  1. Navigate to the required course and select Customisation from the Course Management menu
  2. Click on Enrolment Options
  3. Select Self-Enrolment and the Submit. From here, you can also set dates that enrolment will be available and an Access Code if desired.

You should provide clear instructions for students if you would like them to use this method.

Please note that you will still be required to enrol staff manually as Self-Enrolment only adds students to a course.
