Roles available

There are a variety of custom roles available, each with a specific set of permissions: Blackboard Learn roles.

Options for enrolling users

There are three options for enrolling users:

Automatic enrolment of students from DSS

If you are using the Department Student System (DSS) to manage course enrolments, you can set up an automated link with Blackboard to enrol students into a Blackboard course. To do this you must ensure that your Blackboard course has been configured with a DSS integration code.

To check whether your course has been configured, login to DSS and view the course details.

  • If the Blackboard section exists field is marked Yes, your Blackboard section exists and has been configured for use with DSS.
  • If the Blackboard section exists field is marked No, your Blackboard section either does not exist in Blackboard or it exists, but has not been configured with a DSS Integration Code.

Setting up a DSS integration code

To set up a DSS integration code, follow these steps:

  1. Login to DSS.
  2. View the details of the course in question.
  3. Copy the DSS integration code listed.

If your Blackboard course does not exist in Blackboard Learn, complete the new course form and enter the DSS integration code in the relevant field on the form.

Setting up automated enrolment from DSS

To set up automated enrolment, follow these steps:

  1. Login to DSS.
  2. View the details of the course in question.
  3. Select the type of students you wish to be enrolled.
  4. Enter the date you would like the students to be enrolled from.

Students will be enrolled on a nightly basis from the date you have entered until the end of the academic year relating to the course you have chosen.

Manual enrolment of staff or students

If you are not using DSS or wish to enrol staff, you will need to follow the procedure for manual enrolment. You are expected to be able to enrol up to 20 enrolments (e.g. 20 users on a single course, or 10+ users on multiple courses) yourself using one of the methods below.

If you have more than 20 users to enrol, you can contact the ICT E-learning Services team to request a bulk enrolment (see next segment).

Individual enrolment

If you are enrolled as a Course Admin or Course Teacher, you can enrol individuals onto a Blackboard course by username. This is useful when enrolling in small batches where all users need the same role.

To enrol users individually, follow these steps:

  1. Navigate to the course you wish to enrol the users onto.
  2. Click the Users and Groups heading in the Control Panel and then the Users link.
  3. Point to Enrol User and select Find Users to Enrol on the Users webpage.
  4. Type a username or click Browse to search for users. Only users that are not already enrolled in the course will be identified in a search for users.
  5. Type as many usernames as desired by separating multiple usernames with commas.
  6. Select a Role and Enrolment Availability for the users.
  7. Click Submit.

Bulk enrolment

Where you have large numbers of users or want to upload users with a mix of roles then you may wish to enrol them using a CSV file. Your CSV file must have the following fields:

Username*,Last Name*,First Name*,Email,Password*,Course Role*

e.g. jsmith, Smith, John, jsmith1, S

Notes
  • Field names with an asterisk (*) are mandatory and must contain data.
  • The email field is optional and can be left blank (as per the example above).
  • The password field is a mandatory field for the upload, however, as users will use their College account we recommend appending a number to the username to form a password for the upload. This will not modify the user's existing password. 
  • Course role codes are as follows: "IC_A" for Auditor, "IC_G" for Marker, "IC_P" for Course Admin, "IC_T" for Course Teacher, "IC_TA" for Teaching Assistant, "S" for Student
Instructions

Once you have put together your CSV file, follow these instructions to carry out the upload:

  1. Navigate to the course you wish to enrol the users onto.
  2. Click the Users and Groups heading in the Control Panel, then the Users link.
  3. Click Batch Enrol Users on the Users page.
  4. Click Browse to locate the file and select the delimter type as Comma.
  5. Click Submit.

Bulk enrolment via the E-learning Services team

Any number of enrolments above 20 (be it 20 users on a single course, or 10+ users on multiple courses) is considered a bulk enrolment. The E-learning Services team can perform bulk enrolments if the information is accurate and supplied in a certain format.

The CSV file for bulk enrolments via the E-learning Team should contain the following information in the rows:

Blackboard CourseID, Username, Course role

Notes

  • Find your CourseID by clicking Content Collection in the Control Panel of the course. The Course ID is the first link under the Content Collection heading.
  • Course role codes are as follows: "IC_A" for Auditor, "IC_G" for Marker, "IC_P" for Course Admin, "IC_T" for Course Teacher, "IC_TA" for Teaching Assistant, "S" for Student.

Instructions

  1. Download the template enrolment csv file.
  2. Complete the file using the information above as a guide.
  3. Contact the ICT Service Desk and attach the csv file to your message.
