Whether you are based in the UK or overseas, if you are thinking about organising a class reunion the Alumni Office is here to help!

Send an email to alumni@imperial.ac.uk and include the following information:

  • Your full name and contact details
  • Your education details
  • Who you would like to invite to your reunion event (e.g. Class of Mechanical Engineering 1984)
  • Will the event take place in the UK or overseas

Please contact us at least six months before your reunion.

How we can help

Class information

We will provide you with a list of names of your classmates. Due to the constraints of the Data Protection Act, we are unable to give out lists of contact details from our database, however, we can provide you with the names of alumni and highlight on the list those whom we have up-to-date contact details for.

Mailings

We recommend that we send an initial email to the group to gauge the level of interest for the reunion and to get some idea of what preferences there are towards location and the type of event. We would encourage that responses be made to you directly. It generally takes a minimum of three weeks for us to produce the requested data and send mailings, so please bear this in mind when planning your event.

Please provide us with a message to go out to your classmates and we will send this out (by post/email) in the following format:

I am contacting you on behalf of < >, who is interested in organising a reunion for the Department of < >, class of < >. Please find below a message from < > with more details of the proposed event.

If you are interested in attending this reunion, please contact < > directly via the contact details given below.

Tips:

  • Ask recipients to supply you with their current contact details
  • Ask recipients to forward the invitation on to any classmates they may be in contact with

Logistics

You will now need to think about the logistics of your events. Some points to consider:

Format of the reunion

Dinner, drinks, weekend reunion, tour etc.

Departments

Did you want to organise a tour of your department or extend your invitation to former academics? We can put you in touch with your former department to try and organise this.

Queen’s Tower tour

Let us know if this is something you would be interested in and we will help to arrange this.

Pick a date

If you let us know the date that you are thinking of, we will let you know if your reunion clashes with any important College dates or if there are other alumni events that your reunion may be able to combine with. Remember that term times will be busier.

Equipment

Microphones, laptop, screen etc.

Name badges and guest lists

This may be something that the Alumni Office can assist you with.

Photographs

Take lots on the day and ask your guests to bring any old ones they may have.

Special requirements

Check whether any of your guests have any access, dietary or other special requirements.

RSVPs

Keep track of responses and where possible it would be great if you could let the Alumni Office know who attended your event.

Venues and catering

If you are looking for somewhere to hold your next reunion or meeting, why not consider Imperial's conference facilities. As an alumnus, you can take advantage of reduced rates for room hire. Additionally, Imperial offers a variety of event catering menus to suit a wide range of events.

Don't forget we also now have the exclusive Alumni Visitor Centre with an executive lounge and meeting space. The Centre has a capacity of max 30 people and could be used for smaller reunion events outside of working hours.

Promotion

We will do what we can to promote your reunion in our communications. This could include a listing in our online event calendar

Post event report

After your event, please do send a full list of attendees, a brief report and any photgraphs from your event to the Alumni Office. If you are happy for us to do so, we will include your photographs in our event gallery and on our Facebook page.
