FAQs for Students

Why are you introducing this?

These decisions have come about as part of the new joint sports strategy between Sport Imperial and Imperial College Union, which launched in March 2018. This 4-year strategy looks to promote, support and enable all our students and staff to enjoy a more active lifestyle. In order to achieve these aims, we need to invest in our facilities, services and programmes so we can offer more opportunities to get active. The funds generated from these price changes will be reinvested into achieving our strategy aims, which include:

  • Installing new gym equipment in Ethos, Charing Cross and Hammersmith gyms
  • Establish a new governance framework for student sports clubs
  • Introduce an activity tracking app and reward scheme designed to encourage physical activity
  • Improved functionality for Ethos bookings through the app
  • Improve support for student clubs representing Imperial with the potential to be high achieving in competitions

What will the joining /renewal instructions be?

For all new students registering at Ethos for the first time, it will take 24 hours for your card to be activated. This time frame also applies to students changing from undergraduate to postgraduate as this requires a system update of your status.

For returning students who are continuing with the same student status, the renewal will take place instantly and you can continue your access as normal.

If you are a final year student, our registry systems automatically revoke your student status on the last day of your course and your card will no longer allow access to Ethos. You will only be able to continue using our facilities until 31 August if you provide proof of re-enrollment for October. You must request an extension by logging a request with Sport Imperial through the ASK system

Why do I have to re-join every year, why can’t my membership renew automatically?

Because our membership date is fixed, and we are taking a one-off, annual online payment, automatic renewal is not an option. This also allows flexibility for students who do not wish to automatically be re-registered and charged each year.

Will the cost of a student membership decrease if I join later in the year?

No, the cost of the membership remains £30 no matter when you join. Unfortunately, we cannot offer pro-rata fees.

What is included in the Westway gym memberships?

The £30 membership fee entitles chemistry and medical students studying at White City campus to full use of the Westway Sports Centre gym as well as access to their group classes. Students who opt to take Westway membership will be unable to use the Ethos gym, however you will have access to the swimming pool and other Ethos facilities. Applying to join Westway Sports Centre will be available from 1 September. Instructions on how to apply for this membership will be made available in due course.

Where does the money from hiring facilities to schools go? Can this not be used to fund the strategy plans?

Any income generated from external hire of College sports facilities, is managed by the College’s Office of Financial Strategy, rather than Sport Imperial. These monies are reinvested into the academic mission as a whole and used where most appropriate rather than back to sport directly.

I was told that I would be paying a one-off fee – why do I now have to pay annually?

Imperial has been very proud to have been able to offer free gym and swim to its students since 2006. As the College now faces a much more financially-challenging time, any College subsidies for campus facilities and services such as ours, are more in demand than ever. Charging this small annual fee will help to ensure that we can continue to offer quality facilities as well as services and programmes which will most benefit all our community’s health and wellbeing.

Please note that students who have previoulsy paid the one-off £40 fee will still be required to pay the £30 annual membership fee from 1 September 2018 if they wish to use the gym adn swimming pool.

Why are you introducing a flat rate rise and not a % increase?

As there has been no increase in costs from 2014 and will be no further increases for the lifetime of the strategy we chose a flat rate increase for transparency – we felt this was the easiest for people to compare prices with competitors.

How can I cancel my membership?

There is a minimum contract term of 3 months for Club Imperial memberships. Once this minimum term has passed, members can cancel at any point using our online membership system. Please note that if you wish to cancel before the price changes take effect, you must do this online by 31 July 2018. If you cancel in August, a full month’s payment will be taken on 24 August as normal due to payroll procedures.

What does the Westway gym membership include?

We have arranged a discounted rate for gym memberships for Imperial staff working at White City Campus at the nearby Westway Sports Centre. The cost is the same as the Club Imperial membership (starting from £27.50 per month) and includes use of their gym facilities and classes. Staff who opt to take Westway membership will not have automatic access to Sport Imperial facilities.
