Summary
I joined Imperial College in January 2013 and am responsible for the day-to-day administration of the 'Power' side of the Control and Power Research Group in the Department of Electrical and Electronic Engineering.
Finance Management
- Monitoring internal and research budgets including providing finance reports, trouble-shooting any queries related to expenditure and working with Research Services on the completion of expenditure statements for sponsors
- Maintaining accurate records of the portfolio of awards held by the Power academics
- Keeping budget-holders informed of the status of their accounts and ensuring research project accounts are spent to budget
- Assisting staff in preparing research grant applications using the necessary internal and external tools
- Coordinating the submission of Timesheets
- Managing consumables, equipment and other orders from ordering to the settlement of invoices, ensuring invoices match purchase orders
- Ensuring the submission of expense claims by carrying out rigorous checks on account codes used, descriptions used, appropriateness of claims etc
Human Resources
- Coordinating recruitment exercises for the appointment of staff from preparing adverts through to supporting work permit applications
- Assisting with the processes staff probations, contract extensions, changes and terminations
- Ensuring all HR practices within Power are compliant with College policy and legal requirements
- Carrying out inductions for new staff and PhD students
- Keeping accurate and up-to-date staff records including visa records, working with HR to ensure they are renewed before expiry
Student Administration
- Tracking PhD and MSc applications for the Power group
- Maintaining accurate records for students from before arrival to post completion of their studies
- Working closely with the MSc Course Director, the Admissions Manager and the Postgraduate Manager to support the selection process, the induction process, their progress, examinations and submission of coursework
- Ensuring the necessary forms for PhD completion and vivas are completed accurately and submitted in a timely fashion
- Coordinating the accurate and timely payment of stipends and tuition fees for PhD students
- Attending MSc Management Committee meetings and following up on action points as necessary
General
- Working with the Research Contracts Engineering team, Research Services, academics and collaborating organisations on research projects to put in place collaboration agreements, checking documentation, budgets and chasing the relevant parties where necessary
- Dealing with any Visitor requests from appointment to when they leave
- Working with the Control Administrator to ensure desk space is available for new starters, their PC has been set up before their arrival and other resources are available to meet their needs throughout their time at Imperial
- Organising meetings, workshops and other events for research projects including booking venues/rooms, ordering catering etc
- Covering the Control Administrator’s absence during her holidays and sickness
