In the first week of October (Thursday 26 September - Friday 4 October) Imperial College welcomes thousands on incoming students – some who have never been to university before and others who are joining Imperial to pursue their studies and passion in Higher Education.
This week of celebrating the arrival of new members to our community could not happen without the volunteers that make the week such a warm and welcoming experience for our students.
There are plenty of opportunities to get involved, including:
- Supporting the move-in effort at our Halls based in locations around West London
- Support events as a steward or part of the set-up team
- Share your knowledge at our Imperial Information Points
- Lead our Welcome tours for parents and friends

What opportunities are there to get involved?
Would you like to help incoming Undergraduate students start their journey in London? We have 11 Halls of Residence that are welcoming in nearly 3,000 students into their new homes for the year and you can be there to welcome them in on their first day. Don’t live close to our South Kensington Halls? Not a problem, we have Halls of Residences across locations in London that need your enthusiasm and help over move-in weekend!

Across Welcome Week we have lots of events to help incoming students feel settled and welcome as part of the Imperial community. From Welcome talks for Undergraduate and Postgraduate students to our Discover Imperial fair – there’s lots of opportunities to help make these events a success!
Imperial College Union will be running a whole host of events that need your support - you could be supporting clubs and societies at the Welcome Fair or partying at the Welcome Carnival.

Imperial Information Points
To help roaming new students at two of our campuses, we’ll be hosting temporary Imperial Information Points. These Information Points will have leaflets and information including campus maps, welcome events leaflets and FAQ sheets. During times of high footfall in the mornings and afternoons, you will be present at one of these stalls to help answer questions and direct students.

How do I sign up?
It's really easy to sign up and only takes a few minutes. You can view all available shifts, what tasks and responsibilities each shift has and sign up all in one place. Just follow these simple steps to join the Welcome Team:
- Go to the Welcome Team volunteer portal
- View the available roles, responsibilities and decide if you want to volunteer with us
- Fill in an application (button located on the right of the volunteer homepage)
- Go to 'Opportunities' to find the available shifts you're interested in
- Click 'Sign Up'
It really is as simple as that! That's all we need from you, otherwise the Welcome Team will be in touch in August to give you more information about your volunteer briefings and what you'll be doing for Welcome Week.
If you have already volunteered for an event this year (such as Graduation or the Festival) and you have a Better Impact profile you will still have to fill out an application for the Welcome Team to be able to sign up for available shifts.

Where can I volunteer?
We have volunteering opportunities in many locations throughout the week so there's plenty of options that hopefully suit your convenience. You can volunteer at the following locations:
- South Kensington campus
- Charing Cross campus
- Paddington (Wilson House)
- Waterloo (Xenia)
- Notting Hill Gate (Pembridge Gardens)
- North Action (Woodward and the Costume Store)
- Hammersmith (Parsons House)
Who can volunteer?
All Imperial staff and current students are eligible to volunteer. Whether you work in Campus Services or you're studying Bioengineering, we want to bring together volunteers from across the College! It's a great opportunity to meet students and staff from different places around the College and definitely something to tell your friends about!
How many hours should I volunteer?
It's really up to you, we have shifts ranging from 1 hour to 10 hours and we appreciate any time that you can give to the Welcome Week programme. Whether you join us for a morning at the weekend to help new students move in, or you spend an hour at one of our Imperial Information Points, we hope you can find a shift time that works for you.
I'm a member of staff, do I get TOIL?
We encourage all staff volunteers to speak to their line managers to make a local agreement about TOIL. We cannot guarantee that TOIL will be awarded and we do have other rewards for volunteers to recognise the time and effort they have dedicated to making Welcome Week happen.
Are there any rewards for volunteers?
We value our volunteers and recognise the effort they go to in making Welcome Week the successful event it is. To thank our volunteers we're hosting a Celebrating Welcome party on Friday 4 October from 16:00 onwards. All volunteers will also be entered into a raffle with the opportunity to win an iPad, John Lewis or Amazon vouchers.
What information is available to volunteers before their shift?
All volunters will receive a volunteer pack consisting of a briefing document, a Welcome Week t-shirt and a copy of handouts that incoming students will receive. Volunteers are also invited to a briefing session where we will give you more detailed information about your role, what will happen and where to go on the day. This is also an opportunity to meet the team, other volunteers and get answers to any questions you might have.
I've signed up to a shift but can no longer volunteer, how do I cancel my shift?
We understand that schedules change and you might not be able to volunteer a shift you have signed up for. If you are cancelling your shift before Monday 2 September, you need to do the following:
- Log in to your Better Impact profile
- Go to 'Schedule'
- Click 'Remove' next to the shifts you can no longer attend
