Choose the right space for your tasks and meetings

Desks

The comfort, flexibility, and productivity of staff were carefully considered when designing our new workspace, and the White City Hub has a total of 444 desks.

Desk set-up
Each desk is fully equipped with the following:

New docking station, compatible with both Mac and Windows devices
New wired keyboard and mouse
Two widescreen 24" monitors with a built-in camera and monitor arms
USB and mains charging ports for charging personal devices

If you find any of the above equipment faulty, please report to ICT.

Desk booking
Desk bookings can be booked up to one month in advance using the OfficeSpace web-based portal or mobile app.

When booking a desk, you can select your preferred start and end times. Upon making a reservation, a confirmation email will be sent to you, followed by a check-in email at the booking start time.

Please note that each department has two representatives that have 'on behalf of' desk booking permissions.

You must check in within two hours of the start time, or the desk will be released for others to book.

Quiet zone
The Quiet Zone provides a dedicated space for focused, uninterrupted work. Located across desks 1-36, 16 desks are available for advance booking up to one month ahead. 20 desks will remain unbookable, offering the flexibility to use the space on an ad-hoc basis when you need it.

Height-adjustable desks
Just over 20% of desks are height-adjustable, offering greater flexibility to meet personal ergonomic preferences and requirements.

Chairs
All desks benefit from having an ergonomic chair designed to promote better posture and reduce strain throughout the day. For staff with specific requirements, a store room is available for any personalised chairs.

Meeting rooms and pods

The White City Hub offers a wide range of collaborative spaces. Whether you’re looking for informal meeting spots or more formal, high-quality rooms for presentations or private discussions, our new workspace has a variety of options to support productive work and collaboration.

Meeting room booking
The meeting room booking system is integrated with Microsoft Outlook, in line with Imperial's existing booking process. Staff have the flexibility to reserve meeting rooms at any time in the future, ensuring that spaces are available as needed, based on team requirements.

Meeting room booking permissions are managed via team email distribution lists. Anyone listed on your team's distribution list has the ability to book meeting rooms at the White City Hub, even if it is not their primary work location.

Meeting rooms are numbered as follows: MW.1M1, MW.1M2A, MW.1M2B, MW.1M3A, MW.1M3B, MW.1M4, MW.1M5A, MW.1M5B, MW.1M6

Please note that MW.1M5A and MW.1M5B can be combined into a larger space with a capacity of 20 people. This can only be booked through the Workplace team.

Lynne Cox Boardroom
The Lynne Cox Boardroom (MW.1M1) has restricted booking permissions, similar to the Faculty Boardroom at South Kensington. To book the Lynne Cox Boardroom, please contact your departmental booker who is responsible for making these reservations.

Pod booking
A small number of group pods are available for booking in advance through Microsoft Outlook. Individual pods and all other group pods are not available for advance booking. Instead, they can be reserved on the day by using the whiteboard located outside each pod.

Neighbourhoods

Each team has a designated neighbourhood for each of their anchor days. These spaces have been carefully planned to optimise space utilisation and provide teams with a dedicated workspaces. On anchor days, teams have an assigned zone within the desk booking system, while on non-anchor days, individuals can reserve available desks or choose from a variety of flexible workspaces across the office.
