Terms of Reference

1. The Terms of Reference of the Travel Risk and Security Group (TRSG) are:

1.1. The TRSG is responsible for setting Imperial’s strategic approach to the management of travel risk and security. This includes:

a) Considering, developing and improving ways of managing all travel risks in conjunction with existing Faculties’ and Support Services’ systems already in operation, with a particular focus on:

  • Identification of travel risk factors
  • Physical safety and security
  • Digital safety and security
  • Research security

b) Monitoring risks that could impact staff and/or student travel, particularly in relation to international travel.

1.2. Additionally, the TRSG will:

a) Recommend related policies and procedures to the University Management Board (UMB) and/or Council for approval.

b) Provide assurance reports to the Risk and Compliance Committee.

c) Liaise with the Health, Safety and Environmental Management Committee, as appropriate.

1.3. The TRSG will meet every two months for the first year and on a termly basis thereafter.

2. Membership of the TRSG comprises the following:

  • Chief Legal Officer and Deputy University Secretary (Chair)
  • Chief Information Security Officer
  • Director of Security and Community Safety
  • Deputy Director of Safety
  • Head of International Mobility
  • Senior International Relations Manager (Education and Mobility)
  • Head of Research Security
  • Head of Regulatory Compliance
  • Head of Risk & Resilience
  • Head of People Security
  • Head of International Communications
  • Head of Health & Safety (Faculty of Natural Sciences)
  • Director of Operations (Department of Earth Science and Engineering)
  • Director of Operations (School of Public Health)
  • Director, Student Life (Imperial Business School)
  • Director of Membership Services (IC Student Union)
  • Director of Safeguarding / Legal Director

2.1. The group is quorate when at least six members are present.

2.2. Support is provided by the Regulatory Compliance Manager, Division of the University Secretary.

2.3. Other members may be invited to attend on an ad hoc basis.
