Everyone who works for Imperial will have an Atlas account. It will enable you to carry out a range of common tasks quickly, and in one system.

Atlas, will change how we work for the better by improving the user experience, streamlining processes and enhancing reporting. 

Key changes for all staff

New system

Atlas is a modern and intuitive system, bringing together in one place the most common tasks carried out by Imperial staff, making it quick and easy to get simple things done. 

Personal details

Atlas holds the personal information you have provided to Imperial. It will make it easier access and the ability to quickly update your personal information at any time.

Annual leave

All annual leave must be requested in Atlas. Leave will be calculated and booked in hours instead of days to ensure fairness across all working patterns. Guidance will be provided.

Expenses

Expenses will be claimed in-system. A new mobile app means you will be able to photograph receipts and upload claims on the go, speeding up the inputting and reimbursement process.

Requisitions

All staff will be able to raise a requisition and approval processes will be more consistent. All goods and services will need to be receipted in the system to enable payment of an invoice. ​

Payslips

Payslips will be accessible in Atlas. It will be easier to view, save and print payslips.

Queries

People team queries can be raised and tracked in Atlas. You will be able to update some information and initiate some HR processes without contacting the Helpdesk

Tracking and notifications

Whether you are booking leave, claiming an expense or have a ticket with the Helpdesk you can track progress and will receive a notification in-system and by email when something is approved or you have an action.

In-system support

Atlas has AI functionality to support you with learning and carrying out specific tasks, make it quick and easy to do so.

Frequently asked questions

Will I get training on the new system?

Yes, you will be provided with training tailored to the tasks you will carry out in Atlas.

Will Atlas work for MAC users?

Yes. As of early 2026 Oracle recommends Google Chrome or Microsoft Edge for optimal performance including AI functionality. Oracle recommends Firefox is compatible with minimum version 124 or higher. Browser testing will be carried out as part of User Acceptance Testing. 

I won’t need to use Atlas very often. How will I know if I have an action?

You will receive an email notifying you of an action requirement in Atlas.
