What activities require a booking in Ethos?

The Sports Hall will not be available for ad hoc bookings.

Why do I need to book before coming to Ethos?

So that we can all adhere to social distancing guidelines and meet building capacity limits, we need to carefully monitor the amount of people in the building at any one time. Bookings are essential in helping us do this. We know this will be a little inconvenient, but we appreciate your patience and cooperation as we all adapt. 

How do I book?

You'll first need a live membership with Ethos (if you have a class and/or swimming bolt-on you must also have a minimum Staff or Student Basic membership).

Booking for the first time
  • If you have an Imperial College CID number (Imperial Staff and Students):
    • Visit the online booking website
    • Click “Log on” in the top right corner
    • Enter your College username and password
  • If you don't have an Imperial College CID number:
    • Visit the online booking website
    • Click “Register” in the top right corner
    • Complete each section of the form:
      •  “User name” – this can be anything you choose
      •  “Email address” – this must be the same as used to register your membership
      •  “Surname” – this must be the same as used to register your membership
      •  “Member number” – you would have received this in your joining email when you registered your membership
      •  “Post code” – this must be the same as used to register your membership
    • Click “Register” – you will receive an activation code to the email address specified; click on the link in the email to complete your registration
To make a booking
  • Visit the online booking website and log on
  • Under “I want to book”, select “Classes”
  • Select the appropriate “Activity” (e.g. class type, swim, gym)
  • Select the date you want to book for
  • Select the from and to times (the longer the search time the more options will be available)
  • Select “Search” – all available booking options will appear for you to select. (For ease you can select to have your search filter saved)
  • Select the session and/or class you are attending by clicking on the basket and follow the on-screen instructions to complete the booking process
  • You will receive an email confirmation of your booking which you will be asked to show to a member of the Ethos team on arrival of your activity

If I can no longer attend a booked session, do I need to cancel?

Yes, you'll need to cancel your booking so that another member is able to take your space.

Cancelling a booking
  • Visit the online booking website and log on
  • Select the “Account History” tab at the top; all your booked sessions will appear
  • Find the booking you are wanting to cancel and click on the red “X” next to the booking and follow the onscreen instructions
  • If you are using pay as you go for classes you will need to log an ASK ticket (or email move@imperial.ac.uk) to request to have your place cancelled

What if I arrive and don't have a booking?

Due to social distancing guidelines, we are going to have to check every booking as you enter the gym, class, swimming pool or courts. If you don't have the appropriate booking, you won't be able to use the facilities at that time. 

You're welcome to check if there is still availability online and, if there is a space, can book this and show our staff. 

We know this is a little inconvenient, but the booking system is crucial in ensuring everyone's safety and we appreciate your cooperation.

What are the booking rules and conditions?

Gym (including SW7 overflow space)

Each block session will be 45 minutes. If you do arrive late, you'll still need to leave at your designated booking time. You'll need to check in at one of the stations in the Ethos main reception. Bookings can be made up to six days in advance, subject to a fair use policy (2 bookings in a day across all areas subject to 7 bookings in any 6-day period).

Once in the gym, you'll need to clean the equipment as you use it; you'll be given a microfibre cloth and spray when you arrive. 

Swimming pool

Each block session wil be 45 minutes, including changing time at the start if you're not able to arrive "beach ready". If you do arrive late, you'll still need to leave at your designated booking time. There will be a small window of time to shower and change after the 45-minute session, however you will need to leave when instructed by staff to allow time to clean before the start of the next session. 

You'll need to check in at one of the stations in the Ethos main reception. Bookings can be made up to six days in advance, subject to a fair use policy (2 bookings in a day across all areas subject to 7 bookings in any 6-day period).

Classes

You'll only be allowed into the class if you have a confirmed booking. You'll need to check in at one of the stations outside the studio. Bookings can be made up to six days in advance, subject to a fair use policy (2 bookings in a day across all areas subject to 7 bookings in any 6-day period).

Can I book two sessions in a row?

With the return of an increased number of students and staff in the new Academic Year, we are faced with the challenge of ensuring that everyone has equitable and fair access to our facilities whilst maintaining a reduced capacity. In order to achieve this, you will now only be able to book one session at Ethos per day. A session includes a gym, class, pool or sports hall booking. We know that this limits the amount of time you're able to spend in Ethos per day and we will keep this under constant review according to uptake. Any activities related to sports club bookings are exempt from this.

What do I do with my belongings?

Temporary lockers have been installed for users of the gym and classes. These lockers will only be available for the duration of the session you're attending.

Given the limited space, we strongly recommend that you limit the amount of items you bring to Ethos and don't bring any valuable items - Move Imperial isn't responsible for any loss or damage to personal property.
