Job summary

We are seeking to recruit a Departmental Research Administrator responsible for providing efficient administrative support for the Life Science Academic and Research staff and students at Silwood Park Campus and provide PA support for the Director of the Georgina Mace Centre for the Living Planet.

The position is based at the Silwood Park Campus, which is home to approximately 25 academic staff, 40 research staff and 10 support staff. As well as housing state-of-the-art facilities for laboratory and field research, the campus is a recognised Centre for postgraduate training.

This is a busy and varied post requiring you to multi-task and to work to deadlines. You must be proactive in your approach to your duties and be able to work with minimum supervision. The post involves a high level of interaction with staff of all levels as well as students.  

Duties and responsibilities


  • Manage expenditure on research grants and contracts and advise Principle Investigators accordingly

  • Ensure timesheets are completed and submitted promptly to research services

  • Ensure all research grants are managed in accordance with sponsors terms and conditions

  • Advise the Departmental Manager of internal or external issues that might affect the financial and operational strategy of the group and provide relevant data and information

  • Financial approval for Department of Life Sciences groups within your area

  • Process expense claims, payment authorisations, journal transfers and casual payroll

  • Maintain the purchasing hierarchy by requesting access for staff and students in iProcurement

  • Provide training and support to users of college finance information system (ICIS, iProcurement, Oracle Grants)

  • Maintain records of expenditures to enable monitoring and control of budgets and keep up-to-date finance and administrative records to meet audit requirements

  • Be aware of College financial policies and advise staff on the College regulations

  • Be familiar with Employment regulations, HR Policies and Procedures

  • Provide assistance to investigators with staff appointments and personal paperwork including drafting of job descriptions and person specifications, inductions and other aspects of personnel administration

  • Co-ordinate induction of staff, visitors and students in your area

  • Manage annual PRDP process for research staff at Silwood Park

  • Provide PA support to the Director of the Georgina Mace Centre including diary management and arrange meetings

  • Service and minute relevant meetings and follow up actions as appropriate

Essential requirements


  • Appropriate academic qualification or equivalent vocational qualifications

  • Experience in a similar or related role

  • Evidence of excellent planning and organisational skills

  • Previous experience of managing budgets, financial reporting and providing sound financial management advise to budget holders

  • Experience of managing a customer-focus service

  • Evidence of excellent planning and organisation skills

  • Proven ability to establish and maintain administrative systems in order to ensure efficient and effective running of department

  • A high standard of numeracy, ability to interpret financial information and communicate it to academic and research staff

  • Ability to prioritise and manage high volume and varied workload to meet deadlines while maintaining high level of accuracy

  • Excellent analytical and problem-solving capability

  • Ability to take minutes at staff meetings
