Space Change Request
Description
This process involves any space change on an Imperial site which is affected by project works. The submission of relevant forms is required for any space affected by project works:
- External additional space not within Imperial space
- Additional space not within Faculty space
- Space to released back to Imperial due to project works
For additional space and release of space requests a Space Change Form will need to be filled:
- New or Additional Space: Fill in the General Information Section, Type of Space Change Requested, Section 3 and Section 4 (Authorisation)
- Space Release: Fill in the General Information Section, Type of Space Change requested, Section 2 and Section 4 (Authorisation)
An Area Clearance Certificate should be submitted either at this stage (if available) or at the Space Handover to Contractor Stage (at the latest). A completed copy of the Area Clearance Certificate should be sent to the Space Manager (advising CDM handover of space to the Principal Contractor).
Engagement
- Space Manager (Ghada Al-Madfai - g.madfai@imperial.ac.uk) for any space change forms, Area Clearance Certificates and Decontamination Certificates. Project Managers should assist users in submitting these forms.
- End-users/Property Facilities Managers to confirm amendments to space and acceptance of Change of Ownership and financial charges. Space ownership financial charges will take effect from the date confirmed on the Clearance Certificate.

Approvals and Compliance Review
All submitted Space Request Forms (for new, additional or release of space requests) will be considered by the Space Review Group at RIBA 0-1 and the users will be informed of the decision (Imperial's space database will be updated accordingly).
