Project Notification Document (PND)
Description
Completion of a Project Notification Document (PND) is required as part of the project approval process and any funding request approval. PNDs are required for works <£10k, any works over this amount will need to complete a Project Implementation Document (PID).
The PND should clearly define the scope, deliverables, anticipated benefits and justification for the proposed works, providing sufficient information for approval.
Supporting photographs must be included to evidence the existing condition and substantiate the need for the works.
Health & Safety risks and mitigations should be considered as to how works will be delivered if building is in occupation, or if works take place outside standard working hours.
All project costs must be itemised and broken down line-by-line, ensuring transparency and enabling approvers to understand the nature and value of the proposed expenditure. Where appropriate, multiple quotations should be sought using the same client brief to demonstrate value for money and to ensure a fair and consistent assessment of available options.
Engagement
The client brief must be completed prior to the completion of the PND and sent to contractors to ensure fair pricing with any questions recorded and stored via Imperial's record management system - Box.
The PND must be endorsed and signed by the following:

Approvals and Compliance Review
The PND shall be sent to the Continuous Improvement Works Approval Group (CIWAG) for review. An approval, rejection, or on-hold decision will be provided with accompanying commentary.
The RAMS shall be reviewed with the Property Operations Health & Safety Team (Charlie Dodd - c.dodd@imperial.ac.uk) to ensure compliance and that any concerns or questions have been answered.
