Loaned Equipment Policy for Students (18-9-26)

During your studies, you may be loaned equipment by the Department to support your learning. When borrowing equipment, you are fully responsible for its proper use, care, and timely return.

When You Borrow Equipment

  • You agree to adhere to the departmental regulations governing loaned equipment
  • You’ll be told when and how to return it.
  • You must return it in good condition and in its original configuration.
  • The Department may ask for it back earlier than planned if needed.

If You Don’t Return It on Time

  • You’ll receive reminder emails at 7 and 14 days after the due date.
  • If not returned within 21 days, the matter will be escalated to a formal process.

If the Issue is Escalated

  • You may receive a Formal Letter stating that:
  • You’ve failed to return the equipment on time.
  • A fine will be issued to cover the replacement cost.
  • The incident may be recorded on your student record.
  • Your academic records (like transcripts or certificates) may be withheld.
  • You may lose borrowing privileges for other equipment.
  • If you return the equipment within 7 days of the formal letter, the fine will be cancelled, but the incident will stay on record.

Wellbeing Considerations

If there are concerns about your wellbeing, the Department will first seek advice from the Wellbeing Support Team to ensure communication is handled appropriately.

If you’re struggling to return equipment or need support, please contact your personal tutor or a representative from the point where you collected the equipment as soon as possible — we’re here to help.
