Important information
You must only purchase items from the College's preferred suppliers, as all products from these suppliers are checked for safety and compliance.
If you choose to purchase from Amazon, eBay or similar market-place web sites, without prior authorisation, you will not be reimbursed.
Some items, when purchased from non-college suppliers, will not have had rigorous safety checks. Purchasing such items without prior authorisation, might lead to you failing your project.
Follow the steps below to learn how to order. Once you have understood the process you can skip to step 6 to make subsequent orders.
Ordering process
- 1: Risk assessment requirement
- 2: Treasurer & project budget
- 3: Single item limits
- 4: Restricted items
- 5. Register the account code
- 6: Order here!
All projects need a risk assessment. If you are doing the first or second year project, this will have been done for you by the supervisor.
For all other projects, you will need to complete a risk assessment and update it as the project progresses. you will not be given bench space until the seminal assessment been done and signed off by your supervisor. Contact The EE project lab manager to get the process underway.
When undertaking a different project, which will have different risks, you will be required to create a new assessment.
As your project develops, revisit the risk assessment, adding any new risks and subsequent controls.
Group projects
Designate a single treasurer who will make the orders on behalf of the whole group and find out how much you can spend on the project from your supervisor (budget Limit).
Individual projects
Such as a FYP (a Final Year Project). You are the treasurer! You will need to find out your Budget Limit from your supervisor.
Increase your budget limit
Once you have reached your budget limit, we will not make any more purchases on your behalf. You will need authorisation from your supervisor, in the form of a forwarded email, to continue spending on your project.
There is a limit of £100 on a single item purchase. Above this value you will need authorisation, from your supervisor, forwarded to stores, in the form of an email.
Other purchases might be queried and blocked, such as purchasing several of one item, or tools that we already have available in the department.
Some items you purchase will be registered as loan items which will need to be returned to the stores after you finish your project. This enables re-use of such items for subsequent students which is important for sustainability.
Batteries
If you need to power your project, consider using a bench power supply rather than batteries during the development stage.
Batteries, particularly rechargeable types, need special handling to avoid battery fires.
If you can not avoid using batteries, then contact the technical team or stores before purchasing, to ensure the risks are managed appropriately.
Battery‑type orders will be blocked and queried before any purchase, so planning ahead and contacting the technical team will help prevent delays.
Chemicals
Please contact Stores before ordering any chemicals. They require careful management, as outlined in the relevant COSHH forms.
Each project you undertake, needs an account code, in order to manage the budget for that project. These account codes should not be used across different projects.
You will be assigned the account code by the course leader or supervisor. Once you have the code then please click here to register the code. Wait for the email from the stores team to inform you that the account has been set up before ordering.
Course codes will look like:
- Applied machine Learning: ELEC70060-UniqueGroupName
- Instrumentation: ELEC60018-UniqueGroupName
- Power Electronics: ELEC60024-UniqueGroupName
- Sensors: ELEC70101-UniqueGroupName
- Laboratory in Sensor Systems: ELEC70132-UniqueGroupName
- 3rd Year Group projects: ELEC60014-UniqueGroupName
- Electronics design project 1: ELEC40006-UniqueGroupName
- Electronics Design Project 2: ELEC40006-UniqueGroupName
- Individual Project (Beng): ELEC60017-StudentLoginID
- Individual Project (MSc): ELEC70017-StudentLoginID
Account codes need to be unique, this will be the name of the project (in the case of a group type project) or your login (in an individual project).
If you are doing a research project, then please reach out to your SRGA as the budgets and account codes need to be managed by the SRGA to ensure compliance with the sponsors of the project.
Ordering
Finally, once we have processed your account code, we will send you a confirmation email and you are ready to order!

Sustainability drive
We also have a recycled items database (under construction), consisting of items used in previous years. You will not be charged for using such items.
PCB Ordering

Can't find what you need using the college suppliers?
- Do not purchase from the supplier until you have authorisation!
- First contact the stores team as they are experts at obtaining obscure items.
- If the stores can't find the item, before you purchase use the expenses claim procedure . Note that this procedure requires prior authorisation or you will not be reimbursed.
