If you are running late for an exam

If you are too ill to attend an exam 

If you are ill on an exam day, email the EEE Exams Team eee.exams@imperial.ac.uk as early as you can. You should ideally contact us before the exam, but if this is not possible please contact us as soon as you can.

What to do next 

  • You must go to the Imperial College Health Centre or your GP, who must be registered with the General Medical Council, to get a certificate.  
  • Absences without a GMC-approved doctor’s note during the time of the exam will not be accepted, and you will receive zero marks for the exam.  
  • If you have any long-term condition you have not informed the Department of which might affect your ability to sit exams, submit evidence through the Mitigating Circumstances process.  
  • The possibility of taking an Interruption of Studies without a certificate can only be considered up to the end of the first week of summer term. Beyond that, each request will need a certificate and will be considered case by case.  
  • If you have a minor illness which is not certifiable by a doctor, for example a headache or slight discomfort, the current guidance tells students to take their usual over-the-counter medicines within the given guidelines to allow them to study and sit exams. Uncertified mitigating circumstances cannot be accepted for minor illness.  
  • If a minor accident happens close to or on the date of the exam, for example broken fingers, email eee.exams@imperial.ac.uk as soon as possible. The Department may be able to provide a scribe so that you need not miss the exam. Medical proof and a mitigating circumstances claim are still required.  
What can I bring to the exam? 

Bring only the items permitted for your exam. Your normal exam-day items:

  • Imperial ID card
  • permitted writing equipment in a transparent case or bag
  • water in a clear bottle 

Writing equipment

Candidates may take into any examination normal writing instruments (pens, rubbers, rulers, etc.). Any bag used for carrying such items MUST be transparent.

We advise you to use black or blue pen during the exam as if you use pencil there is a risk that it won’t be picked up by the scanners after the exam. 

University ID card 

Bring your University ID card to every exam and place it face-up on your desk. If you do not have your University ID card, bring another official form of photo ID, such as a passport or driving licence.

If you do not have your Imperial photo ID, contact the EEE Exams Team as soon as possible. 

Arrival time and checking your room and seat  

Morning EEE exams normally start at 10:00 and afternoon exams at 14:30. Allow enough time to check your room and seat number, store your belongings and get to the exam room before the exam starts. 

You should aim to arrive at least 20 minutes before the exam. 

EEE seating plans are displayed on noticeboards in the EEE Building entrance from one hour before the exam. Check your room and seat number before entering the exam room. 

Some exams may be arranged differently, so always follow the current seating plan. 

If you cannot find your name, first check the plans for all exam rooms. If it is still missing, go to the Education Office, Room 607, as early as possible so the Exams Team can help. 

Storing bags, coats and valuables 

Bags, outdoor coats/jackets and other non-exam belongings are not permitted at your desk. Store them in the designated bag storage room (normally Room 503) before entering the exam room. 

The room is opened shortly before the exam, locked during the exam and reopened afterwards. Valuables such as phones and keys can be placed in the valuables box at the front of the examination room.  

For your safety and security, do not leave belongings in corridors, classrooms, labs or breakout spaces. 

 

Entering the exam room 

 

  • You must wait quietly outside the exam room until the invigilator invites students in. 
  • Once you enter you must remain silent and under exam conditions. 
  • Your pockets should be empty. Phones, smart watches and other electronic devices must be switched off and stored as instructed. 
  • Go to your allocated seat and check that the CID on the answer booklet matches your own CID.  
  • Place your University ID card face-up on the desk. 
  • Do not turn over or read the exam paper until the invigilator tells you to begin. 
What will be on your desk 
  • Seat-number label. 
  • Exam answer booklet labelled with your CID and exam title. 
  • Supplementary answer booklets if required. 
  • Treasury tag for attaching supplementary booklets. 
  • Exam paper. 
  • Calculator, where the exam permits/requires one. 
  • Formula sheets and tables, where the exam permits 
Exam instructions – your name and candidate/CID numbers 

On the front of your first answer booklet is a label showing your CID number. You must check that this number is correct, and write your full CID number on any additional answer booklets and other items of exam stationery you use. 

You must also write your name on your main answer booklet and seal the flap as indicated.

The rubric on each paper will state “Answer n questions”. 

Number your answers as you go and cross through rough work or material you do not want marked.  

Candidates should not submit answers to more than the required number of questions. 

The department policy is that only the first n questions whose numbers you have entered on the front of your answer booklet will be marked. Any other answers you have written will not be marked. 

At the end of each exam, students are required to enter the numbers of the questions which they wish to be marked on the front of the answer booklet.

Questions during the exam, toilet breaks, leaving the room 

If you think you have the wrong exam paper, materials are missing, or a paper is incomplete or badly printed, please raise your hand and tell an invigilator immediately. 

If you have a question, feel unwell, need extra stationery or need to go to the toilet, please raise your hand and wait for an invigilator. Do not leave your desk to ask a question.  

There are no toilet breaks during the first hour of the examination or the final 30 minutes.   

Once you have entered the examination room, you are not permitted to leave within the first 60 minutes  

If you become ill during the exam 

If your illness is short-lived, for example a coughing fit, and you are able to continue after a short break, tell the invigilator. The Exams Team may be able to allow extra time to compensate for time lost. 

If you feel unable to finish the exam, please inform the invigilator. 

You may then be asked to go to the Health Centre to see a doctor and obtain a medical certificate. 

After obtaining medical evidence, you are required to submit mitigating circumstances via the EEE Portal Mitigating Circumstances App and upload the certificate as evidence. 

The claim is then reviewed by the Mitigating Circumstances Committee. If accepted, the Board of Examiners decides whether a resit will be offered during the August resit period, and the EEE Exams Team contacts affected students towards the end of July. 

If there is an emergency alarm 

Stop working, remain silent and follow the invigilator’s instructions. The invigilator will guide you to the assembly point. Extra time will be given to compensate for disruption and lost time.  

 

At the end of an exam

You must stop writing when instructed and remain seated and silent until dismissed by the invigilator. Remember, you must remain under exam conditions until you have left the exam room. 

  • Complete the required details on your answer booklet and any supplementary booklets. 
  • Attach supplementary booklets to the back of the main booklet using the treasury tag provided. 
  • Leave any supplied calculator on the desk. 
  • Collect your valuables and your belongings from the bag storage room. 
  • Remain quiet outside the exam rooms because other exams or work may still be taking place. 
  • If you find the bag storage room is locked, please go to Room 607 and a member of the Exams Team can unlock it for you.
