As the Final Approver for requests submitted by staff in your area, your role is that of decision-maker for medium- and high-risk requests. Immediate automated approval is in place for low-risk requests. Requests should only be submitted once the staff member has gained support for their overseas working plans from their Line Manager.

Setting up your role profile

As your department's named Final Approver, login to the MyRemoteWork system and set-up your profile. In respect of any overseas working requests for yourself, in the Final Approver Name and Email fields, please either enter the name of the alternative Final Approver for your area (if two are in place) or enter International Mobility Approvals IMapprovals@imperial.ac.uk.

Request decision-making

An auto-approval function for low-risk (green pathway) requests is in operation, to allow focus to be directed toward requests that require greater attention. Staff submitting an overseas working request where the total overseas presence in a 12-month period is 30 days or fewer, and where all other applicable guardrails indicate low risk (green), will receive an auto-approval notification. The approval notification will be copied to their Line Manager and you, their named Final Approver.   Requests that fall outside of the low-risk category will be directed to you as their Final Approver for review. You will receive an email each time there is a medium+ risk request awaiting your review and decision. Please note: you will need to click the link in the email to be able to review the request.

Your dashboard in MyRemoteWork will display details of submitted overseas working requests, as well as any notes that have been added by the International Mobility Team. You may wish to discuss the details of the request with the member of staff member’s Line Manager or the International Mobility Team if you have any queries.

Once you approve or decline the request, the staff member, their Line Manager and you will receive an email confirming the request outcome.

Key actions

  1. When prompted by an email notification, login to the MyRemoteWork system to Review the request and auto scorecard assessment.
  2. Read supporting advice from the International Mobility Team in the 'Activity History' tab notes.
  3. Liaise with the International Mobility Team on next steps (if applicable).
  4. Approve or decline medium- or high-risk request in the MyRemoteWork system.
  5. The requestor and their Line Manger will receive email notification of your decision.
