Annual leave
  • How do I book the accrued annual leave from maternity leave?
    This can be booked in the same way as normal annual leave in TeamSeer.
  • Why hasn’t my annual leave been carried over from the previous leave year (where maternity leave crosses two leave years)? / My leave allowance isn’t correct.
    We understand this situation can feel confusing, especially when maternity leave spans across two annual leave years and the mandatory closure days. The system doesn’t automatically carry over annual leave, but you can direct your staff member to their Departmental TeamSeer Administrator, who can help resolve this.
    If maternity leave overlaps two leave years:
    • Annual leave accrued in the first leave year can be carried over, but it needs to be used within 3 months of returning to work.
    • Annual leave accrued in the second leave year can be taken as normal.

By working together with your staff member and the Departmental TeamSeer Administrator, you can ensure their leave allowance is managed fairly and in line with policy.

  • My mandatory university closure days have not been added?
    Staff members will continue to accrue any mandatory closure days or hours that fall during their maternity leave. These will be added to the staff member’s record once they return from maternity leave. If, after their return, they notice that these days or hours haven’t yet been updated in TeamSeer, you can signpost them to the Departmental TeamSeer Administrator, who can ensure the record is corrected.
KIT/SPLIT DAYS

How are KIT/SPLIT days managed?

KIT/SPLIT days are usually taken toward the end of a staff member’s leave, for both practical and financial reasons. These days are entirely optional and can only be arranged with prior agreement. Managers should note the following:

  • KIT: Staff members can take up to 10 keeping in touch (KIT) days without their maternity, adoption, or surrogacy leave being brought to an end.
  • SPLIT: Staff members can take up to 20 Shared Parental Leave in Touch (SPLIT) days without their Shared Parental Leave being brought to an end.

Managers should submit any requests for KIT/SPLIT days to the Staff Hub via email, with the appropriate signatures. Once submitted, KIT/SPLIT days will be processed and included in the next payroll run. More information for managers can be found on the Keeping in Touch Days web pages.

Flexible Working

Can I change my working pattern when returning from maternity leave?

Staff members may wish to request a different working pattern upon their return, and managers are encouraged to explore available options with them, as circumstances and preferences will vary.

Requests should be reviewed in line with Flexible Working Policy [pdf], with managers seeking advice and support from their Faculty’s People Partner as necessary. Once approved, managers should submit a Contract Change request to the Staff Hub, which will be processed, subject to approval from the relevant department and Finance. Payroll changes take effect from the payroll run in which they are approved by both the Department and Finance.
