Accommodation Licence (Contract)
The lengths of our accommodation contracts (known as your ‘College accommodation licence’) for the 2025-26 academic year are:
- 39 week licence for first year undergraduates, though you have the option to extend over the summer at some halls; and for undergraduates allocated to Evelyn Gardens and Scape Hammersmith
- 51-week licences for first-year undergraduate students who have specifically chosen this option at Kemp Porter
- 51 weeks for postgraduates students at Silwood Park, though you will have an option to take a field trip as required by your course of study
Responsibilities
Imperial aims to offer welcoming, comfortable and secure accommodation. We are committed to providing a supportive and friendly environment for all students, staff, and visitors who use our services. The accommodation licence forms an agreement between ‘You’ and ‘Us’ and should be read very carefully, as it details both parties’ responsibilities:
Responsibilities
- Read and understand the contract – familiarise yourself with the terms of your accommodation agreement, including any rules and policies.
- Respect fellow residents – be considerate of noise levels, communal spaces, and shared facilities.
- Maintain cleanliness – keep personal rooms and ensuites tidy and contribute to the cleanliness of shared spaces like kitchens and bathrooms.
- Manage waste and recycling – dispose of rubbish correctly and recycle where possible.
- Report maintenance issues – notify the residence team promptly about any damages, faults, or safety concerns.
- Adhere to health and safety rules – follow fire safety regulations, avoid tampering with alarms, and store personal items safely.
- Respect security measures – do not allow strangers into the building and follow key card/fob policies.
- Be responsible for guests – ensure visitors comply with residence policies and do not disturb other residents.
- Engage with support services – seek help if experiencing difficulties with accommodation, wellbeing, or other concerns.
- Pay rent on time – ensure accommodation fees are paid according to the agreed schedule.
- Provide a safe and secure living environment – ensure security measures like CCTV, controlled access, and fire safety systems are in place and maintained.
- Provide information on emergency procedures – ensure all students are aware of fire evacuation plans and emergency contacts.
- Ensure regular cleaning of common areas – oversee the maintenance and hygiene of shared spaces.
- Address maintenance issues promptly – respond to repair requests in a timely manner.
- Manage noise and disruptions – address complaints and take action where necessary to maintain a positive living environment.
- Communicate clearly and regularly – provide updates on maintenance, safety, and events in a timely manner.
- Enforce policies fairly and consistently – apply residence rules in an impartial and transparent way.
- Support student wellbeing – offer guidance on where students can access support services if needed.
- Offer fair and transparent rent processes – clearly outline costs, payment plans, and other policies.
- Continuously improve accommodation services – gather student feedback and make improvements where possible.
Conditions
Your accommodation licence is a legally binding agreement. Please read it carefully. If you need clarification on any point, contact the Student Accommodation Office at accommodation@imperial.ac.uk.
Imperial’s offer of accommodation is subject to you being registered as a student at Imperial College London at the start of your accommodation period and remaining registered throughout.
The 2025-26 licence applies to students allocated to Scape Hammersmith through our Continuing Halls application scheme. The Scape Code of Conduct and relevant sections of the licence only apply to students living at this location.
If you are living in accommodation outside Imperial's portfolio, your terms and conditions will be set by your landlord, estate agent, or private accommodation provider. The university strongly advises you to review and understand these terms before signing any contract. The Student Accommodation Office can provide guidance and support on private accommodation matters.
