Guidance on how to create content for digital screens

How can I create content for digital screens?

Visit our ‘How to create content for digital screens’ guide for information on how to produce slides that are optimised for brand and accessibility.

How can I get my content displayed on screens?

Please contact the Internal Communications team to be added to the Internal Communications Network. This will give you access to a Teams channel with:

  • a Sharepoint folder to store your slides (created on the Brand management platform)
  • a ‘Digital Screen’ chat stream to submit your requests for screen owners to display your content

How to store your content

  • Store your content on the Internal Communications network channel in the ‘Files’ tab, in the ‘Digital screen content’ folder
  • Find the appropriate year and month folders and create a new folder with a short description of your content (e.g. ‘Venture Catalyst Challenge slides 2025’)
  • Include the deletion date in the file titles (e.g. ‘VCC main entrance screen DEL 03.04.25’)

How to request screen owners use your content

  • In the Internal Communications Network Teams channel, click into the ‘Digital Screens’ chat stream
  • There is a ‘Microsoft Updates’ form pinned to the top of the channel
  • Fill in the form, including:
    • Description of the content
    • Intended audience
    • Dates for content to be displayed, and taken down
    • Attachments – link to your new slide content folder on the Internal Comms Teams document library.
  • Screen owners will log their use of submitted assets by ‘Liking’ the submitted forms.

Please note:

  • Content which does not meet brand or accessibility guidelines will not be displayed.
  • Many screen owners only update content once per week, so give as much notice time as possible when submitting your request.
How can I use the South Kensington Main Entrance screen?

The large screen in the South Kensington Main Entrance operates on a separate content management system and has a different set of requirements to the information listed on this page.

Please consult the Main Entrance large screen guidelines carefully before contacting the screen owners.
