If you are leaving Imperial as a student or staff member, find out how your access to University systems and applications will change and what steps you should take to prepare.
Leaving Imperial
If you are a student and your course is ending, your access to University systems is based on your degree award/conferral date.
If you are unsure of your award/conferral date, check emails you have received from the University with information about your course ending or contact your department.
You can access your Imperial email for six months after your award/conferral date by using the Outlook Web App.
You should continue to check your email as you may receive important information from the University or your department.
Before your Imperial email address expires:
- Transfer any personal correspondence, including job applications, to your personal email address.
- Check any service or organisation subscriptions you may have set up using your Imperial email address for and change them to your personal email address.
If you wish to backup your mailbox, follow the steps on our backing up and recovering emails webpage.
Files
You can access your files saved in your OneDrive until three months after your conferral date.
Please make sure you back up all your files from your OneDrive to another location before this date.
Applications
Access to eLearning applications (Blackboard or Insendi) and Lecture Recordings (Panopto or Zoom) will continue for 6 months after your conferral date.
Access to any remote access solutions e.g. Unified Access (Zscaler) and electronic Library resources will stop on your conferral date.
Access beyond conferral
Your access to Imperial systems may be extended beyond your conferral date if you are:
- applying to continue your studies at Imperial.
- becoming a member of staff at Imperial.
- participating in an Undergraduate Research Opportunity Programme at Imperial.
After your agreed contract end date, you will no longer be able to access your Imperial account.
This means you will no longer be able to access your emails, Teams messages and files stored in your OneDrive or other areas (e.g. Box).
Prior to leaving Imperial, please ensure you forward any important data to your personal account.
If you wish to backup your mailbox, follow the steps on our backing up and recovering emails webpage.
If you require access to your account after your contract has ended, please contact the ICT Service Desk. Requests will be reviewed on a case-by-case basis.
