In Imperial College Information Systems (ICIS), long-term visitors and contractors are referred to as contingent workers and are not paid via the College payroll system.

Only full-time members of staff are given access to ICIS automatically.

Long-term visitors and contractors (contingent workers) must be set up in the system by the local Departmental Administrator as a Contingent worker.

Anybody who has a contractual arrangement with Imperial and is paid through the payroll system should not be set up as a Contingent worker in ICIS. Contact your Departmental Administrator if this is the case.

To set up and maintain Contingent workers in ICIS, you must have the correct responsibility in the system. Contact your local Departmental Administrator who is usually responsible requesting approvals.

Request access to set up Contingent workers

Requirements

  • You must know which Cost Centre(s) the access request relates to before requesting access for a Contingent Worker.
  • Please use Firefox or Microsoft Edge to access ICIS, not Internet Explorer (IE), Google Chrome or Safari.

Instructions

To request access to set up contingent workers please use ASK and select a generic ticket. In the main field put 'Requesting Access to Contingent Worker module on ICIS'.

Once the ASK form has been submitted you will recieve a confirmation email with reference number and email updates as the request progresses.

Once your access has been approved, you can create a Contingent Worker record for the long-term visitor or contractor in ICIS.
